Creating Email Templates

From Groove

  1. Go here

  2. Click + > Email Template 

  3. Choose the folder where you want to save the template

  4. Create a name

  5. Choose if you want to track link clicks for this email (Note: only emails sent from Flow will have their links tracked if this option is turned on)

  6. Fill in the subject and body



From Gmail


Here's how you can create a template directly from Gmail:


  1. Compose a new email

  2. Click the template icon in the Groove bar

  3. Press the '+' icon (shown below) 

  4. Choose the folder you want to save the template in (Note: if you plan to use this template in Flows, make sure you save it in one of your Groove folders)

  5. Name the template

  6. Fill out the subject and the body

  7. Press Save

Note: If you're writing a great email that you'd like to quickly convert into a template, you can click on the '+' icon in your template options, and Groove will copy what you have in the subject and body of the email into your new email, so you don't need to duplicate your work:




Merge Fields

By using Salesforce merge fields in your templates, you can automatically have information populated in your template based on data that already exists in Salesforce.


When you are creating your templates, you can easily include merge fields with the following:



Note: Firstname, Name, Company, Lastname will automatically be converted to the correct merge field depending on the Salesforce record type. For example, if you are emailing a lead, Firstname would be automatically converted to {!Lead.FirstName}.



Groove fully supports the uploading of images and GIFs up to 10 MB. You can upload a image/GIF by clicking the following:



Email template limitations (Gmail)

While Groove Flow supports full HTML templates, the compose window in Gmail will run it's own HTML cleaning script when you insert templates into it. As a result, anything that Gmail finds to be unsafe HTML or doesn't support, will be stripped from the HTML and that can cause certain formatting issues. 


Here are some best practices we recommend in order to ensure your template will be formatted correctly when you insert it into the compose window:


  1. Ensure you are only using inline styling and not any <style>  tags

  2. Don't use attribute selectors or pseudo classes

  3. Don't use negative CSS margin values
