Groove Master Flows

A Master Flow allows teams to send consistent messages, with a personal touch from each rep. Multiple people can use the exact same flow by adding their own contacts or leads to it and executing the actions. 

 

Why use a Master Flow?

1. Streamline team communication with prospects and target accounts

2. Collaborate on the most effective messaging

3. View detailed analytics on who is getting the best results with the Master Flow (Admins, Analysts, and Team Leads)

 

Create a Master Flow

Click Add > Flow in the top right corner. Then, enable the Master Flow setting as you create your Flow:

Share a Master Flow 

After you create a flow, to share it:

 

1. Click Share in the top right corner.

2. Share this flow with: Whichever users or teams you'd like to give access to, and decide whether they have add/edit access.

3. Click "Advanced Sharing Settings," and switch from an Individual Flow to a Master Flow.

4. Click Share.

Template Personalization

You can apply your own templates to Master Flows. This means others can apply their own templates while using Master Flows and have template performance tracked across the entire Flow. Each user of a Master Flow can customize their template for each step. 

 

 

For each step in your Flow, you can toggle the setting to allow users to apply their own template (see toggle below). The Flow Creator template selection will serve as the default template if users choose not to apply their own template.

 

Note: This setting is not supported with A/B testing.

 

 

 

 

Choose Templates

In Flows, If the allow users to apply template setting is enabled for that step, users will see the option to apply their own templates using the template icon. The template icon will be highlighted in Groovy Teal if a user has applied their own templates.

 

 

 

Important Notes for Admins

  • The Templates in Actions setting under Manage My Org allows Admins to control whether users can replace or insert additional templates when executing email steps of Master Flows through Actions. This setting only affects whether templates can be replaced on an individual basis in the Actions Page. For the option to allow users to replace the template of an entire email step in a Master Flow, refer to the template personalization feature (shown above) during the Master Flow creation process.
  • In Analytics, Admins can view all of the template performance used in a Master Flow.

 

User View When Changing Template

Using the template icon, you can swap to use your own templates by toggling "Use my own template," (see toggle below) without affecting the step for other users. Other users can also still edit the step if they have Edit access using the pencil icon.

 

 

 

 

For Master Flows that have users applying their own templates, in Analytics > Flows, all the templates applied to the step will be listed under the Day Step when expanding.

 

The Template Name reflected for that step will display the default template applied for that step. The statistics on the first line will reflect the aggregated statistics of all the templates applied for that step. Expanding the step, will list out all the individual templates applied and their associated statistics.

 

 
 
 

Find a Master Flow

Whether you've created the flow or it was shared with you, you can add your own contacts/leads to the flow at any point, and execute the actions as your own.

 

If you created the flow, it will be one of your Active Flows, and if it was shared with you, you can find it in your Shared Flows section. There will also be an indicator showing which shared Flows are Master Flows, and which are Individual Flows.

 

Note: While there are people in a Master Flow that was shared with you, it will show up under your Shared Flows and your Active Flows.

 

Add People to a Master Flow

Option A: Manually import people

Just as you do with any of your other Flows, you can add people to a Master Flow at any time, through Groove, Salesforce, or Gmail.

 

From the Clari Groove web app: Select the Flow you want to add people to, then click Add > People at the top right. 

 

From Salesforce: On a contact, click the Groove icon > Add To Flow

 

From the Groove Extension: From a Contact, Click Groove > Flows > Add to Flow

 

 

Option B: Automatically importing people

The owner of the flow, or anyone who has edit access to it, can set up auto-import for a Master Flow. The auto-import settings will apply to everyone that the flow is shared with (each user cannot set up their own individual auto-import).

 

Auto Assign Owner

Additionally, you can choose to auto-assign people to the corresponding contact or lead owner or use a custom lookup field from the Salesforce Report you have selected for Auto-import. You can select a field from the report as long as they are lookup fields that references a Salesforce user similar to contact/lead owner.

 

 

In the selected report above, Account Owner is a field in the Salesforce Report that is a lookup field:

 

 

If your lookup field is not showing up in the dropdown of fields, check to make sure that the field value is not null for the first few rows in your report.

 

With the auto-import set up as shown above, each user doesn't need to keep looking for their prospects to import, and they can execute the actions in the flow as more folks get added to their version of it.

 

Executing the Actions

Once you have people active in your Master Flow, each user can execute the due actions just like they would for any other flow. Learn more about creating Flows
