Copilot for Managers: Getting Started Level 1

Sign up
 

Head to Copilot and sign up with your work email. If your team uses Google Workspace, sign up with your Google account.


Connect your sales tools
 

You'll be prompted to sync Copilot with your CRM and dialer apps (and calendar, if you are a recording user). 

 

This is a small step that has a huge impact, so don’t skip it!
 

 

Why? So Copilot can automatically join (or download calls from your sales team’s dialer app), record, transcribe and analyze meetings that you permit it to, and pull in relevant account/deal information—no more incomplete information.

Recording vs non-recording users

Every sales rep on Copilot is a recording user—Copilot syncs with their calendar to record, transcribe, and analyze their calls. But managers can opt to be non-recording users if they don’t plan to record any calls.

 

Non-recording managers: You miss out on recording your own meetings with Copilot, but everything else is the same. 

 

For recording users only

There are three things to do in this section:

 

  • Add your voice fingerprint

  • Download the desktop app

  • Record your meeting

 

All of this takes just a minute or two, so here we go.

 

Add your voice fingerprint

Remember when we said Copilot automatically transcribes all your sales calls? Simply read the sample paragraph out loud so Copilot can identify you on calls. Takes just 30 seconds, but this ensures better voice recognition and more accurate call transcripts.

Get the Copilot desktop app

We’ve been working with the Copilot web app so far—which is what you see when you go to Copilot. But for the funky stuff, aka real-time alerts and customized battlecards (for monologue alerts, keyword detection, customer objections, etc.), you gotta get the desktop app.


Why you absolutely need the Copilot desktop app
 

  • Bookmark key moments on call, so you can go back to them easily later and provide feedback/coaching for your reps. This is a big deal—we’ll see why shortly.

  • See battlecards in real-time as your call progresses. For example, your prospect says “I have no budget.” Copilot automatically shows your sales reps a card with the best response for this objection, based on how you set it up for them. We’ll cover this in detail shortly.

  • Know when you (or your sales reps) drone on and on because, let’s face it: prospects (and virtually everyone) want to talk about themselves, not you. #SorryNotSorry #NoMonologues


How to download the desktop app
 

This article is a quick step by step for downloading the app for either Mac or PC.

 

Record your first meeting
 

Copilot can join two types of calls/meetings:
 

  • Scheduled calls on your calendar: Copilot will only join meetings with a video link and at least one participant from an external email domain (not the same as your team). This is to avoid automatically recording internal meetings, but you can manually toggle recording on/off for scheduled meetings.

 

 

Or, toggle recording on/off for upcoming meetings in My Calls.

 

Once you invite Copilot to your meeting, allow Copilot into your video meeting when prompted. Once the meeting ends, give Copilot a few minutes to work its magic and you should see your first call in the web app.

 

Invite your team

Bringing your team on board is easy. Here’s what you do:

 

1. Go to the Copilot web app.

2. Click on the Settings button (on the top nav).

3. You are the admin, so under Admin Settings, click on Manage Users.

3. Now, click on Invite User and type in an email and name.

4. Set a Role for the user—Rep, Manager, or Observer.

5. Specify the user's manager (optional) and click on Invite.

 


Repeat to invite as many reps as you need to. Your reps will receive an invite email to join you on Copilot. You can also check progress by downloading the onboarding tracker spreadsheet (next to the Invite User button).

Review call recordings and give feedback

 

Access your team’s calls

As your sales reps come onboard, Copilot merrily tags along on scheduled calls to record, transcribe and analyze them for you. All of these sales calls are housed in the Team Call Log.

 

How to view all sales calls

Go to the Copilot web app (https://app.tryCopilot.com/) and click on Team Call Log (on the left). All recorded calls are listed on this page. Click to open one.

 

On the left of the screen, you can review deal details (account info from your CRM) and key call metrics (talk/listen ratio, monologue duration and engaging questions).






In the center, you see the meeting video and transcript, with playback controls and speaker audio graphs at the bottom.






On the right, you can review bookmarks, highlights, add/reply to comments, etc.

How to review calls


  • Call summary: Try navigating through your first call recording using the audio graphs or by clicking anywhere in the transcript. Or hit the play button next to any speaker to hear only what they said and nothing else! Super useful when you need to review what your customer said as you can skip any pauses in conversation as well as what other meeting attendees said.
     

  • Comments, tags, and mentions: Add comments and tag teammates on relevant sections of a call recording for feedback and follow-ups. When someone comments/tags you back, you are alerted immediately via the notification center (click the bell icon at the top right corner in the web app).
     

  • Prospect follow-up: Following up with a customer but can’t remember every action item from the last call? Look up the last recorded call with the customer in Copilot, check deal info on the left, and go through the highlights on the right. Or search for keywords and phrases in a call transcript and quickly review previously discussed questions and objections as you prep for your follow-up.

 

 

Give feedback

 

  • In any call recording, look to the right for the insights and comments section.

  • Navigate through the recording and, at relevant points, add a comment with your feedback. Tag your sales rep, so they are notified immediately.

  • When they reply/comment/tag you back, you get a notification at the top right.

 

 

In this example, note the timestamp in blue at the bottom left of the comment (05:16). This indicates we're leaving feedback for that particular moment of the call!
