Flow Expiration Settings
This feature lets you set an archive date and last import date for Flows. When the date arrives, the Flow auto-archives and removes all active people. It helps you manage content sunsetting while allowing active people to finish until the archive date.
Use Cases
- Groove Admin can sunset Flows on a scheduled date while reps can complete the active steps in the Flow.
- Content managers can create an event-based Flow that expires on a specific date.
- Team Leads can create Flows on a set schedule and then have them archive automatically at the end of the team campaign.
- You can set up a Flow for yourself that doesn’t run past a specific date and auto-archives for you.
How to turn on for a specific Flow:
Navigate to a Flow that you have edit rights to. You must be an owner or editor of a Flow to manage Flow expiration settings.
Click on “Settings Tab” on the Flow and scroll down to the “Flow Expiration Settings” section, or click on “Flow Expiration Settings” in the side navigation.

Click “Configure Date” to open up the settings.

This next step is REQUIRED: Enter the date that you want the Flow to be automatically archived on.
Note: The Flow will be archived at 12am in the Flow owners timezone on the date specified. We check hourly for new eligible Flows.

ALSO REQUIRED: Enter the date that you want to be the Last Import Date. Note: The Last Import Date is required. If you do not wish to restrict users from importing until the expiration date, then select the same date as you chose in the “archive date” field. You will not be able to select a date that is past the Archive date set.

Click save to apply the settings to this Flow. You will now be able to view the configured expiration date from the Flow Expiration Settings section. You can edit or remove after configuration using edit/delete blue icons.

What Users Will See
When there are Flows set to expire, there's a banner at the top of Groove, informing users of the expiration date and the last import date.

If a user attempts to import into a Flow past the “Last Import Date” then they will also receive a message telling them why they cannot import into that Flow.

And here's how that same message above looks while using the Omnibar:
