Groove Flow Skip Reasons
The Skip Reason feature lets you document why you bypass steps within the Action Compose workflow. This ensures better accountability and provides valuable insights into workflow deviations for process optimization.
Note: Only admin can set up the Groove Skip Reason feature. Non-admin users will see a skip reason modal when they bypass a step.
Use Cases
-
Enforcing Compliance and Identifying Issues (Admin): Administrators can mandate that users in specific roles provide a reason when skipping steps in Action Compose. This helps maintain adherence to organizational best practices and allows administrators to identify potential bottlenecks or issues in the prospect engagement process based on the reasons provided.
-
Customizing Workflow Insights (Admin): Administrators have the flexibility to create and configure custom skip reasons tailored to their organization's unique workflows and processes. This ensures that the reasons provided by users are relevant and provide specific context for analysis and process improvement.
-
Streamlined Documentation for Users: When their role requires it, users are presented with a clear and concise selection of predefined skip reasons when attempting to bypass a step. This simplifies the process of documenting their actions, ensuring accuracy and efficiency.
How To Set Up Skip Reasons
Admin can follow these steps to enable and configure the Skip Reason feature. Refer to the screenshot below.
-
To navigate to the Skip Reason settings: Go to Manage my organization> Flows and Actions> Flow Skip Reasons and then select Skip Reason Settings.
-
How to enable skip reason: Toggle the Skip Reason option to ON.
-
How to configure role-based access: In the Skip Reason Settings, you will see a list of user roles. For each role that should be required to provide a skip reason, toggle the corresponding switch to ON. When a role's toggle is enabled, any user with that role will be prompted to select a Skip Reason when skipping a step in Action Compose.
-
Create Skip Reasons: Before enabling roles, you need to create the predefined Skip Reasons that users can select. In the Skip Reason Settings, locate the section for creating skip reasons and add the reasons relevant to your organization's workflows. These will be the options presented to users when they skip a step.
-
User Experience in Action Compose: Once Skip Reason is enabled and roles are configured, users in the designated roles will encounter a Skip Reason selection modal whenever they attempt to skip a step within the Action Compose workflow. They will be required to choose one of the predefined reasons before they can proceed. Note: If no roles have Skip Reason enforcement enabled, users will be able to skip steps without being prompted to provide a reason.
