Groove Automated Actions: Create Trigger from Step Completion
The On Step Completion feature allows you to define a trigger based on a combination of a specific step number AND the type of step.
Example: Upon completion of Step 4 (Type: Email), update Salesforce field Status to Contacted/
This enhancement targets enterprise "Speed to Lead" initiatives, reducing manual work for reps and ensuring downstream workflows run immediately after critical steps are executed.
Use Cases
Admin
I want to set up a Global AA that fires after "Step 2 (Call)" is completed across all flows to update the Lead Status to "Attempting".
Rep
- I want an AA to trigger "Update Salesforce Task" immediately after I complete "Step 4 (Email)" so I don't have to manually log the activity or change the status.
- I am working through a "Day 1" with multiple steps. Even if I execute the steps out of the original order, I need the automation to fire correctly when the specific step type/number criteria are met.
How To Set Up a Step Completion Trigger
- Go to Automated Actions settings (either at the Global, Collection, or Flow level).
- Select Trigger: The user selects the new trigger option "On Step Completed"

Define Criteria: You'll see two required selectors:
-
Step Number: (e.g., Step 4)
-
Step Type: (e.g., Email, Call, LinkedIn Action)

Select the action to perform (e.g., "Update Person Field," "Remove from Flow," "Update Salesforce Field")

Save: The rule is saved and prioritized based on the hierarchy (Global > Collection > Flow).
Note: The system must validate "Step X of Type Y." If a Flow has a Step 4 that is a Call, but the rule is set for "Step 4 / Email," the action will not fire for that specific Flow.
FAQs
Is there a precedence to Automated Actions?
-
(Global) Company-wide rules always overrule department/team rules, and (Collection) department/team rules overrule your own (Individual) personal rules.Global Automated Actions take precedence over Collection and Flow level AAs.
-
If an Admin sets a Global AA for "Step 4 Email," and a user tries to set a conflicting Flow level AA for "Step 4 Email," the user's Flow level AA will not fire due to the hierarchy
