Send with Groove in Outlook
This feature works with Groove's Outlook integration and allows users to send emails with Outlook’s native "Send" button, instead of "Send with Groove." This still logs emails to Salesforce and tracks engagement metrics (opens, clicks, and replies).
Note: This feature is new and will be available to all users soon.
This feature is different from the "Send with Groove" button:
- The “Send with Groove” button won't appear in the Outlook add-in task pane or ribbon shortcuts menu.
- When users click the regular Outlook Send button, as long as the Groove add-in is installed, all users see a message stating that “Groove is working on sending your message.”
- ALL outbound emails will take up to 15 minutes to sync to Salesforce (with Send with Groove, emails could log immediately to Salesforce).
Configuration Pre-Requistites
For users to access this feature, you must:
- Ensure your users are on Microsoft Outlook's "new" inbox (Windows desktop only). Follow the steps here to get started with the new Outlook. If a user is on the "classic" inbox, this feature isn't available.
- Open a support ticket to request access to this feature.
How To Use Send with Groove
Once the feature is enabled, users will just hit the Send button in Outlook instead of "Send with Groove."
- Compose an Outlook email as usual.
-
If you tell Groove (manually or in settings), Groove will automatically log the email to Salesforce and track engagement metrics.
-
Click the native "Send" button to send the email.
Troubleshooting FAQs
Why do I get a "Clari Groove is working on your request" message when I send an email?
Outlook checks with the Groove Add-In about whether to track or log your email. You’ll see this message for all Add-In sends. Your email will still be sent as usual. Note that internal emails will not log to Salesforce.
Can I still use "Send with Groove"?
The “Send with Groove” button in the Outlook ribbon will remain for your use until it is sunsetted at a later date.
Why do I get an error when I send an email?
There are a few common reasons for an error:
Outlook in web or Windows
1. Send takes longer than expected
In the case of a slow connection, you'll see a pop-up in Outlook saying the email is processing (see below). Clari recommends you wait a few seconds for this to complete. Once Groove is done processing, you'll see a pop-up that says "Groove is finished processing." Then, you can send your message.
Note: If Groove has not finished processing, clicking Send anyway will result in the email being sent without tracking and custom logging; clicking Don’t send allows you to retry to send the email with expected tracking and logging.

2. Groove is disconnected
You'll see the "you're disconnected" message shown below. Sending an email while disconnected from the Groove add-in will result in the email being sent without tracking and logging, but if you have the background sync auto-log all emails setting enabled, the email will be logged within 15 minutes of the send once reconnected. Please reconnect Outlook to Groove.
3. Groove can't track or log your email
You'll see an error notification with the option to send the email without tracking or logging.
4. If you’ve navigated away from the email before the send has finished processing
Outlook imposes a warning when a user navigates away from the message they’re sending from the Reading Pane, such as to read another message in their inbox. This includes replies, forwards, or existing drafts.

When clicking “Wait”, your composed message will be opened in a new window, and processing will continue in the background. We recommend clicking “Wait” so that your email will be processed with your selected tracking and logging preferences. Clicking “Send anyway” will result in the email being sent immediately without Groove processing.
Please note that Clari Groove does not control this pop-up, it is displayed by Outlook.
Outlook on Mac
1. Send is taking longer than expected.

2. Email is done processing.
Click Send Anyway to send with tracking and logging.

Does Groove work with Outlook’s “Schedule send” feature?
Yes! When you send for a date in the future, your email is tracked and logged per your settings. Note that after scheduling a send, you'll see the email in your Drafts folder with the tag [Scheduled].
Which versions of Outlook will see the new Send with Groove rework?
There are currently four versions of Outlook available:
-
Classic Outlook (Windows Desktop)
-
New Outlook (Windows Desktop)
-
Outlook for Mac (Mac Desktop)
-
Web-based Outlook (Browser)
The new Send with Groove is available for all versions except for Classic Outlook. Classic Outlook is being deprecated by Microsoft in favor of the new Outlook. Users still on the Classic Outlook will see the Send with Groove button in the Task Pane, but not the Ribbon.
Why is my email not logging immediately?
On average, emails take about 10 minutes to log to Salesforce. Occasionally an email will take up to 24 hours to log before it is caught by background sync, but this is uncommon. This is due to Groove using what’s called custom properties on each email, and sending those to Groove's background sync. Groove can no longer log outbound emails immediately to Salesforce.
How can I confirm if an email was sent with the new Send with Groove?
Check if the following Groove headers are part of the email:
-
If viewing email in Gmail (if testing and sending to a Gmail inbox), click on 3 dots menu > 'Show Original'
-
If viewing email in Outlook, click on 3 dots menu and Download > Download as EML. Open the file with a text editor.
If the email has x-groove-observability-id then the email was processed by the Groove add-in. If it also has x-groove-activity-id then that means it should have logged to Salesforce too. Without the heaaders, no logging/tracking is expected.
What if you don't see the Groove headers in a sent email?
If you don't see the headers described in the FAQ question above this, and x-groove-activity-id and x-groove-observability-uuid are missing, it’s due to one of the following:
1. The email was not processed because:
- The user doesn't have the most recent manifest
- The user doesn't have the add-in installed
- The user clicked "send anyway" before the add-in was done processing
- The user encountered an error and clicked "send anyway"
2. If x-groove-activity-id alone is missing, it’s because the email wasn’t intended to be tracked due to a few reasons:
- User had logging + tracking turned off
- All recipients are on blocklist
- User was sent to internal person
3. If x-groove-observability-uuid alone is missing:
This shouldn't happen, please open a support ticket.
