Transitioning Sales Reps
Overview
Follow the steps below when one of your sales reps transitions into a new role or to another company. Note: If you are using SFDC Territory Hierarchies, submissions stay with the Hierarchy ID, not the Rep.
Scenario #1: Lauren Johnson leaves the company.
Step 1. Deactivate Lauren's user in Salesforce.
Step 2. In User Management, revoke Lauren's access to Clari so that she can no longer log in.
Step 3. Remove Lauren from your Forecast tabs.
Step 4 (Option A). All of the deals that Lauren owns will continue to show up in her team’s roll-up in your hierarchy. Re-assign any open deals Lauren previously owned to her manager or keep them with her inactive SFDC license until you are able to backfill her role.
Step 4 (Option B). Alternatively, you can create a placeholder user with that same inactive SFDC license as Lauren so that her deals continue to show up in the roll-up in Forecast. We recommend renaming Lauren's inactive SFDC user and giving the user a unique email alias with the instructions found here: Placeholder Users in Forecast.
Scenario #2: Darrell Brown moves from one team to another team.
Step 1. Update Darrel's role in your SFDC hierarchy to move Darrell into the correct role on the correct team.
Step 2. Wait for User Management to refresh or open a support ticket so we can refresh User Management for you. You can learn more about the intervals on which the data in Clari refreshes in our article on Data Refresh Intervals.
Step 3 (Option A). For the deals that Darrell previously owned in his former role, reassign them to either his previous manager or another rep on his previous team. Otherwise, if you are using the Salesforce role hierarchy, those deals will follow Darrell to his new team. The same goes for any deals that Darrel closed in his previous role — reassign those historical opportunities so they don’t follow him to his new team.
Step 3 (Option B). Alternatively, you can use a placeholder user with an inactive SFDC license to own Darrell's old opportunities until you are able to backfill his role on his old team.
Scenario #3: Juan Lopez gets promoted to manager.
If Juan gets promoted to manager on the same team he was previously a rep on, then you can follow these steps:
Step 1. Update Juan's role within your SFDC hierarchy to reflect his new position.
Step 2. Wait for User Management to refresh or open a support ticket to refresh User Management for you. You can learn more about the intervals on which the data in Clari refreshes in our article on Data Refresh Intervals.
Step 3. Once his new role in the hierarchy is reflected in User Management, update Juan's Clari Role and in Forecast Settings.
You won’t need to worry about any of the historical won deals Juan closed as those will stay with the team’s historical conversion rates in Analyze.
If Juan gets promoted to a manager on a different team, then you can follow the steps below.
Option A:
Step 1. Create a new user for Juan in his new role and keep his old closed won deals as a rep assigned to his old user license.
Option B:
Step 4. Reassign any closed deals Juan had as a rep to either a placeholder user or another sales rep on his previous team until his position is backfilled so that the deals continue to roll up to Juan's previous team and do not affect any historical conversion rates in the Analyze Modules (Pulse, Trend, Flow).
