User Management: Provisioning
Overview
Active Salesforce users who are not registered in Clari can be provisioned. Provisioning helps simplify the workflow the first time a new user goes to Clari and allows you to set up their user before they log in. For example, you'll be able to configure the user in Forecast.
Provisioning a New User
To provision a user, they must:
- Be a Salesforce user with a unique email address
- Have a Clari Account Status of “Not Registered" in User Management 👍
To provision a user
You can provision a user in User Management. Navigate to User Management by clicking Admin
in the top right corner of Clari. Only users with Clari Admin Permissions will see this icon to navigate to Admin. When you navigate to Admin, User Management opens by default.
1. In the User Management in Clari Studio, select the user(s) you want to provision.
2. Open the Actions drop-down and select Provision.
3. You'll be led through a few prompts. First, Clari will guess what each user’s role should be. Make sure to double-check and adjust if needed. Then, click Provision.

4. You’ll be prompted to send the user an invitation to log into Clari via the email associated with their Salesforce account. Click Invite if you want to send the email. If not, click Done.
Note that the data in User Management is updated automatically throughout the day. If you created a new Salesforce user, and need to provision them ASAP, you can open a ticket to request a hierarchy refresh.
Bulk Provisioning Users
There are two ways to bulk provision users in Clari, depending on how many users you need to provision.
Option 1 — Self-service (small batches)
Select multiple users in User Management and use the Actions menu to provision them together. This works best for smaller batches that can be selected directly from the grid.
Option 2 — Support-assisted (large volumes)
For larger volumes, submit a Support case and attach a CSV file. Support will assist with provisioning on the backend.
Your CSV must include the following four columns (in any order). All four are required — the CSV cannot be processed if any values are missing or incorrectly formatted.
| Column | Details |
| crm_id (or sfdc_id) | The user's 18-digit Salesforce ID |
| Name | Full name of the user |
| Email | User's email address |
| Role | The user's Clari role (e.g., Sales Rep) |
Troubleshooting
User Stuck in "Provisioning in Progress" Status
If a user remains stuck in the Provisioning in Progress status and does not progress to Provisioned — or reverts back to Not Registered — the most common cause is a duplicate Clari ID conflict.
Clari requires every user to have a unique Clari ID across the org. If another user — regardless of their current account status — already has the same Clari ID as the user being provisioned, the provisioning process will stall and the user may revert back to Not Registered status.
To identify a duplicate Clari ID, follow these steps:
1. Go to Clari Studio → User Management.
2. Switch the filter from Active to All to surface users across all statuses, including Registered, Provisioned, and Access Revoked.
3. Manually review the user list for any user who may already have the same Clari ID (email address) as the user you are trying to provision. Note that User Management does not support searching by Clari ID directly, so this requires a manual review.
4. Pay close attention to Access Revoked users, as they are hidden under the default Active view and are easy to miss.
What to do if a duplicate is found:
- If the conflicting user is in Access Revoked state, their Clari ID may still be occupying that identifier. Update the conflicting user's Clari ID first to free it up, then re-attempt provisioning for the intended user.
- If the conflicting user is Registered or Provisioned, confirm with the admin whether this is a duplicate account or a legitimate separate user before making any changes.
Things to Note: Always switch the User Management view to All instead of the default Active tab when troubleshooting provisioning failures. Deactivated or access-revoked users won't appear under the Active view, which makes duplicate Clari ID conflicts easy to miss.
