Data Migration
Overview
When one organization acquires another, the acquiring or parent organization probably wants to consolidate the Salesforce instance of the acquired organization into their own Salesforce instance.
Clari does not support connecting multiple Salesforce instances with 1 Clari environment—you'll need to migrate your acquired organization's Salesforce instance into your parent organization's Salesforce instance if you want your acquired organization to use Clari. In this article, we'll assume that you're the parent organization who needs to migrate the data from the acquired organization into your Salesforce/Clari instances.
In this article, we'll walk through the actions items and implications of a data migration on the following modules and functionality in Clari:
- Analytics
- Forecasting
- Hierarchy Management
- Team Linking & Single Sign On (SSO)
Impacts on Analytics
Salesforce does not support migrating field history from one instance to another. As such, a minimum of 1 full quarter of opportunity activity is required before your acquired organization can begin to utilize the CRM Score and the AI Projection.
In the meantime, how do we prevent the data from the opportunities associated with your acquired organization from affecting the analysis of the opportunities associated with your parent organization?
Action Item: Segment the Opportunities Associated with Your Acquired Organization from Your Parent Organization (Temporarily)
Best Practice: Create a field to segment the deals from your parent organization and your acquired organization.
We recommend creating a field on the opportunity object (i.e. a checkbox or a pick list) that segments opportunities associated with your acquired organization from opportunities associated with your parent organization. You should continue to use this field for an absolute minimum of 1 full quarter, but ideally for at least 1 full year.
This will prevent the behavior of opportunities associated with your acquired organization from unduly influencing the CRM Score and AI Projection for your parent organization before Clari has had the chance to collect a sufficient amount of data on your acquired organization.
Clari can add this field as a filter option in the Analytics Modules so that you can view either your parent organization or acquired organization — remember, however, that you'll need to work through a minimum of 1 full quarter before you can leverage the AI Projection at your acquired organization.
Alternative Option: Utilize the role hierarchy to segment deals from your parent organization and your acquired organization.
If you would prefer not to create a field to segment opportunities between your parent organization and your acquired organization, then you can also use your salesforce role hierarchy in Clari to segment the organizations. Whether or not this option would work for your organization is dependent upon how your role hierarchy is structured — if your acquired organization is acting as its own branch with its own node in the role hierarchy, for example, then this option would likely work for you.
Depending on how your role hierarchy is structured, Clari can segment your acquired organization from the rest of your hierarchy in such a way that the opportunities associated with your acquired organization will not affect the data science model that is used to determine the CRM Score for opportunities associated with your parent organization.
Additionally, you can leverage the Scope in the Analytics Modules to view either your parent organization or your acquired organization—remember, however, that you'll need to work through a minimum of 1 full quarter before you can leverage the AI Projection at your acquired organization.
Impacts on Forecasting
You may want to add one or more new tabs in Forecasting to support different forecasting models used by your acquired organization. Your Clari Admin should work with your Clari Solutions Consultant to determine which tab(s) (if any) you need added to Forecasting.
Impacts on Hierarchy Management
If your bringing a new organization into your Salesforce role hierarchy, you're likely to be making some significant changes to the organization of your role hierarchy. The Hierarchy Management Admin Module allows you to make aesthetic changes to your Salesforce role hierarchy in the various modules in Clari. Specifically, you can hide or rename nodes. This is typically a one-time task, but can make a big difference in terms of convenience for all of your users in Clari.
Impacts on Team Linking & Single Sign On (SSO)
Your Clari Solutions Consultant will work with you to update Team Linking and SSO for your acquired organization. We strongly recommend updating your SSO and Team Linking at the same time.
Note: If your acquired organization will be changing their email domain, please discuss the right timing at which to do so with your Clari Solutions Consultant.
Note: If you have acquired an organization that is already using Clari, and you choose to update the acquired organization's email domain before consolidating your Salesforce and Clari instances, then there will be some manual work involved with setting up your SSO to log into the correct Salesforce/Clari instance in the meantime.
